This policy explains how Salgado’s Quality Foods (“Salgado’s”, “we”, “us”) handles personal information in connection with this website and enquiries received through it. It covers visitors, people making product enquiries and prospective stockists. Personal information includes information identifying you or, where applicable, an identifiable business.
Our handling of personal information is subject to South Africa’s Protection of Personal Information Act, 2013 (POPIA). This policy does not govern independent retailer, social media or other websites you visit through our links.

2. Information collected and its source
We receive information you choose to provide when you contact us. The form asks for your email address, enquiry topic and message; your name is optional. Correspondence may also include the contact or business details you supply and information about a product, purchase or complaint.
When your browser connects to the website, hosting systems receive technical information such as your IP address, requested page, request time and browser information. Hosting and email services may keep access, error, security and delivery logs. The contact form uses a protected identifier derived from your connecting IP address and submission timestamps to limit repeated requests. This is a security measure, not an advertising profile.
3. Your choice to provide information
You can browse without completing a form. Providing information is voluntary, but an email address, enquiry topic and message are needed to submit an enquiry and receive a reply. You can instead telephone or email us directly.
Please provide accurate information and only what is necessary. Do not send passwords, identity documents, payment details or sensitive medical information through the form. If more information is needed, we can discuss an appropriate way to provide it. Only share another person’s information where you are authorised or otherwise lawfully entitled to do so.
4. Purposes and lawful grounds
Information is used to answer enquiries, follow up on product questions or complaints, communicate with prospective stockists, keep relevant correspondence, and operate and protect the website. It may also be needed to meet legal duties or establish, exercise or defend legal rights.
The lawful justification depends on the circumstances: taking steps towards an agreement at your request, protecting a legitimate interest in customer service and website security, meeting a legal obligation, or consent where required. Browsing the website does not constitute consent to unrelated processing.
An enquiry does not subscribe you to marketing. The website has no mailing-list sign-up, online checkout or customer accounts. It does not sell enquiry information or make automated decisions about your eligibility for products or services. Automated security checks may temporarily reject or limit submissions; email and telephone remain alternative contact channels.
5. Who may receive information
Form enquiries are sent to info@salgados.co.za for the people handling the enquiry to respond. Hosting, email, technical support and backup providers may process information as needed to operate these services. The website does not maintain a separate enquiry-content database; copies may remain in email systems and backups.
Information may also need to be disclosed to professional advisers, regulators, courts or law-enforcement authorities where there is a lawful basis. Disclosure should be limited to what is necessary. Providers processing information on our behalf must be subject to the confidentiality, security and processing requirements applicable under POPIA.
6. Processing outside South Africa
Hosting, email and backup arrangements determine where information is processed. A transfer to a recipient outside South Africa requires a permitted basis under POPIA, such as adequate protection under applicable law or a binding agreement, or another basis permitted by section 72. This policy does not request blanket consent to overseas transfers.

7. Retention
Retention depends on the purpose of a record, whether an enquiry or complaint remains open, legal record-keeping duties and any dispute or legal claim. Information must not be kept longer than is permitted for those purposes. When no lawful reason requires retention, it should be securely deleted or de-identified.
There is no single retention period for correspondence, infrastructure logs and backups. Contact us for the period or criteria applicable to a particular record. Backup copies may remain until their normal replacement or expiry cycle, subject to applicable legal requirements.
The form’s abuse-prevention system considers attempts within a 15-minute window. Expired entries are removed when its private security file is next successfully updated; they are not automatically erased exactly 15 minutes after submission. Hosting and email logs are separate records.
8. Security
The form validates submissions, limits repeated attempts and sends accepted enquiries through an authenticated encrypted email connection. Its mail configuration and rate-limit records are designed to be stored outside publicly accessible website folders. These measures reduce risk, but no website or email service can guarantee absolute security.
POPIA requires appropriate safeguards against loss, unlawful access and unauthorised use. Where a security compromise triggers a legal notification duty, the Information Regulator and affected people must be notified as required by law. Please contact us promptly if you suspect misuse of information sent to us.
9. Cookies, browser storage and links
The website application does not set cookies or use analytics, advertising pixels or persistent visitor profiles. It uses your device’s reduced-motion preference to adjust animation. An obsolete animation preference from an earlier version may be removed from browser storage; no replacement profile is created.
Retailer, social media and map links lead to independently operated services whose own privacy policies and cookie practices apply. If this website introduces additional tracking or services, this policy must be updated and any legally required consent obtained before those tools are used.
10. Children’s information
The enquiry form is intended for general business and product enquiries, not for collecting information about children. A parent, guardian or other competent person should contact us on a child’s behalf where necessary and provide only relevant information. Tell us if a child has submitted personal information without the required authorisation so that the matter can be assessed and addressed under POPIA.
11. Your rights and requests
Subject to applicable law, you may ask whether we hold information about you, request access, ask for corrections, and request deletion where information is excessive, irrelevant, outdated, misleading, unlawfully obtained or no longer lawfully retained. You may object to processing in the circumstances allowed by law and withdraw consent where processing relies on consent. Withdrawal does not make earlier lawful processing unlawful.
Contact us with a description of the record or enquiry and the action you want taken. Reasonable proof of identity or authority may be required to protect information from disclosure to the wrong person. Do not send an identity document unless requested through an appropriate process. Any prescribed form, lawful fee or further information needed should be explained before proceeding.
Requests may be restricted by legal retention duties, another person’s rights or another lawful exception. Any refusal or limitation should be explained with the available recourse. You may also request information about the applicable access-to-records process under the Promotion of Access to Information Act (PAIA).
12. Complaints and updates
You can raise a concern with us or complain directly to South Africa’s Information Regulator, without first exhausting our internal process. This policy may be updated as the website, information handling or law changes. The date above identifies this version. Any further notice or consent required for a material change must be handled in accordance with law; an update does not remove existing rights.
